What Updates When You Edit
Editing a digest immediately affects future sends:
| Change Made | Immediate Impact | Future Impact |
|---|---|---|
| Frequency | Next send date recalculates | All future sends follow new schedule |
| Recipients | No immediate change | Added recipients get next send; removed stop immediately |
| Organizations | No immediate change | Future digests include different data |
| Status to Inactive | Next send cancels | No sends until reactivated |
| Time/Timezone | Next send date recalculates | Future sends at new time |
Important: Changes don't affect digests already sent. Only future scheduled sends are impacted.
Managing Digest Lifecycle
Beyond viewing and editing, you can manage the digest's status and permanently delete digests when no longer needed.
Managing Digest Status
Control whether a digest sends on schedule by changing its status:
To Pause a Digest (Stop Sending):
- Open the digest detail drawer
- Click Edit
- Change Status to Inactive
- Save changes
The digest configuration is preserved but no emails send until you reactivate it.
To Reactivate a Digest:
- Open the digest detail drawer
- Click Edit
- Change Status to Active
- Verify the next send date is appropriate
- Save changes
The digest resumes sending at the next scheduled time based on the original frequency and timing configuration.
When to Use Inactive Status:
- Organization is on holiday or during system maintenance
- You need time to review and update configuration
- Temporarily inappropriate content (e.g., during org restructuring)
Deleting a Digest Schedule
Permanently remove a digest when it's no longer needed:
From Three-Dot Menu:
- Click the three-dot menu (⋮) next to the digest in the table
- Select Delete
- Confirm the deletion in the prompt
From Detail Drawer (if available):
- Open the digest detail drawer
- Click a Delete button (if available in UI)
- Confirm the deletion
Warning: Deleting a digest is permanent. The configuration cannot be recovered. If you might need the digest again, consider setting it to Inactive instead of deleting.
What Happens When You Delete:
- The digest schedule is permanently removed
- No future emails send to recipients
- Historical data in Generated Reports may be retained for auditing
- Recipients don't receive notification of deletion
- Links in previously sent emails remain accessible to view past reports
Best Practices
Regular Review Schedule
Review digest configurations quarterly:
- Verify recipients are still current (remove departed staff)
- Confirm timing and frequency still match team needs
- Check organization selections reflect current structure
- Review Generated Reports to ensure consistent delivery
Change Management
When making significant changes:
- Preview before saving - Always use Preview Report after editing
- Communicate changes - Inform recipients about schedule or content changes
- Test with small group - For major changes, create a test digest with limited recipients first
- Document rationale - Keep notes on why changes were made for future reference
Status Management
Use status strategically:
- Active for production digests sending regularly
- Inactive for drafts, temporarily paused digests, or seasonal reports
- Don't leave unnecessary inactive digests cluttering the table—delete if truly no longer needed
Editing Timing
Be mindful of when you edit:
- Avoid editing shortly before scheduled send time (allow buffer for review)
- For critical changes, set the digest to Inactive, make edits, test with preview, then set back to Active
Troubleshooting
Edit button doesn't appear
- Verify you have Administrator or Contributor role permissions
- Only users with appropriate permissions can edit digests
Changes don't save
- Check for validation errors (invalid email addresses, empty required fields)
- Ensure email count doesn't exceed limit (e.g., 1000 emails)
- Verify timezone and time selections are valid
Next send date looks wrong after editing
- The system recalculates next send based on current date, start date, and frequency
- If start date is in the past, next send is the next occurrence of your configured time/day
- Verify timezone is set correctly—wrong timezone can make send times appear incorrect
Recipients report not receiving digests
- Check Generated Reports tab to confirm digest sent successfully
- Verify recipient email addresses are correct (check for typos)
- Ask recipients to check spam/junk folders
- Confirm your organization's email system allows emails from Revenue Recovery domain
Can't delete a digest
- Verify you have appropriate permissions
- Try pausing the digest first, then deleting
- Contact support if deletion consistently fails
Common Questions
Q: If I edit frequency, when does the new schedule take effect?
A: Immediately. The next send date recalculates based on the new frequency, current date, and configured time.
Q: Can I duplicate an existing digest to create a similar one?
A: Duplication isn't currently available. To create a similar digest, note the configuration of the existing digest, then create a new one with those settings.
Q: What happens to scheduled sends if I delete a digest?
A: All future sends are cancelled immediately. The digest won't send again.
Q: Can I see who actually opened or read the digest emails?
A: The Generated Reports tab shows delivery status (sent/failed) but doesn't currently track individual recipient opens or reads.
